1. Scope

This policy applies to:

  • Visitors who click our Google Ads or browse our websites.

  • Clients who enquire about or book our photo-booth, photography or DJ services.

  • Event guests whose images are captured in a Pixel Booth or by our photographers/DJs.

It is written to satisfy:

  • The Privacy Act 1988 (Cth) and Australian Privacy Principles (APPs).

  • Google Ads Platforms Programme Policies (updated for 16 Feb 2025, emphasising user-data transparency and consent).

  • Applicable international laws such as the EU GDPR and (where relevant) the California CCPA.

2 What we collect

We may collect:

  • Contact & identity details – name, email, phone, business name, social-media handle.

  • Event specifics – date, venue, guest numbers, running sheet, special requirements.

  • Media – photos, GIFs, videos and audio recorded by Pixel Booth, our photographers or DJs.

  • Payment information – amounts and invoice metadata processed securely via Stripe, Square or bank transfer (we do not store full card numbers).

  • Usage data – IP address, browser, device type, pages viewed, Google Ads click identifiers (e.g. GCLID), cookie and pixel data.

  • Marketing preferences – newsletter opt-in/out, consent for remarketing or SMS.

All information is provided by you directly, generated during an event, or gathered automatically through cookies and similar technologies.

3. How we use your information

  • Provide & customise services – create quotes, reserve equipment, tailor playlists, edit photos/videos and deliver digital galleries.

  • Process payments & invoices.

  • Customer support & warranty – troubleshoot booth software, respond to enquiries.

  • Marketing & analytics – run Google Ads remarketing lists, measure ad performance, send occasional promotions only where you have consented.

  • Legal & security – prevent fraud, comply with tax or law-enforcement requests.

4. Legal bases

  • Performance of a contract – to supply the services you request.

  • Consent – for optional marketing emails, SMS, and Google Ads remarketing tags. You may withdraw consent at any time.

  • Legitimate interests – to improve our websites and services while respecting your rights.

  • Legal obligation – record-keeping for ATO and consumer-law compliance.

5. Disclosure & sharing

We never sell your data. We share it only when necessary:

  • Service providers – cloud hosting (AWS Sydney), email (Google Workspace), payment processors, print labs.

  • Event organisers – e.g. the wedding couple receives a full gallery that may include your image.

  • Analytics & ad partners – Google Ads, Google Analytics 4 (IP-anonymised, Consent Mode enabled).

  • Legal authorities – if compelled by court order or to protect our rights.

All third parties are bound by confidentiality and, where required, data-processing agreements.

7. International transfers

Some suppliers operate overseas (e.g. US-based analytics). Where we transfer data abroad, we rely on:

  • The recipient’s adherence to APPs or standard contractual clauses (GDPR Art. 46).

  • Encryption in transit (TLS 1.2+) and at rest.

8. Data security & retention

  • Security – firewalls, MFA for staff logins, AES-256 encryption, nightly backups.

  • Retention – client files and event media are stored for 3 years (for re-orders or legal claims) then securely deleted; financial records are kept 7 years per ATO rules.

9. Your rights

You may:

  • Access the personal data we hold about you.

  • Correct inaccuracies.

  • Delete data we no longer need (subject to legal retention).

  • Object to direct marketing or automated decision-making.

Contact us (Section 12) with proof of identity; we will respond within 30 days.

10. Children’s privacy

Our services target general audiences. If you are under 13, please ask a parent or guardian to contact us; we do not knowingly collect personal data from children without verifiable parental consent, in line with Google’s child-directed ad rules. Swipe Insight

We may update this policy to reflect legal, technical or business changes. The latest version is posted on our website; substantial changes will be highlighted, and where required we will seek fresh consent.
